Regulated correspondence is deceptively expensive. Quotes, policy documents, cancellation notices and renewal notices each carry jurisdictional wording requirements, and the templates behind them tend to accumulate across systems and teams until nobody is certain which version is authoritative, or how many places a wording change has to be applied.
What we built
A single platform owning document and email templates and the generation of outbound correspondence.
- One authoritative template library, versioned, with an audit trail of what changed and when
- Composition from shared fragments, so a jurisdictional clause is edited once rather than in every document that includes it
- Generation driven by policy and account data, across quotes, policies, cancellations and renewals
- Delivery through the appropriate channel, with a record of what was sent to whom
Why it mattered
The operational gain is speed: a wording change becomes one edit and a release rather than a project. The bigger gain is compliance posture, because it is possible to state with confidence what wording went out, under which version, on which date.
